1. Information we collect
We may collect the following categories of information:
- Identity & contact: name, work email, phone number, company name, job title, and country.
- Account & subscription: username, plan tier, employee counts, billing status, and support tickets.
- Payment-related data: processed by authorized payment partners (e.g. Paddle, Payoneer, or bank transfer references). We do not store full card numbers on our servers.
- Usage & technical data: IP address, browser type, device identifiers, pages viewed, and product usage logs necessary to operate and secure our services.
- Communications: messages you send via contact forms, chat widgets, email, or demo requests.
- Biometric & workforce data (customer-controlled): when you use Axix HCM or attendance products, your organization may upload employee records, attendance events, or face-enrollment data subject to your employer's policies.
2. How we use information
We use personal data to:
- Provide, activate, and maintain SaaS subscriptions and trial accounts.
- Send login credentials, invoices, product updates, and service notifications.
- Process payments and manage billing through our payment processors.
- Respond to sales inquiries, support requests, and security incidents.
- Improve our website, products, and customer experience through analytics.
- Comply with legal obligations and enforce our Terms of Service.
3. Legal bases (where applicable)
Where GDPR or similar laws apply, we rely on contract performance (delivering subscribed services), legitimate interests (security, product improvement, B2B marketing to business contacts), consent (where required for marketing cookies or optional communications), and legal obligation.
4. Sharing and processors
We do not sell personal data. We may share information with trusted subprocessors that help us operate our business, including cloud hosting (e.g. AWS), email delivery, analytics, CRM, payment processors, and Frappe/ERP integrations configured for your account. Each processor is bound by contractual data-protection obligations.
5. International transfers
Axix Technologies is headquartered in Pakistan with offices in Saudi Arabia and the United Kingdom. Data may be processed in Pakistan, the GCC, the UK, the EU, or the United States depending on hosting and subprocessors. We implement appropriate safeguards for cross-border transfers where required by law.
6. Data retention
We retain account and billing records for as long as your subscription is active and for a reasonable period afterward for legal, tax, and dispute-resolution purposes. Trial and marketing data is retained according to operational need or until you request deletion where applicable.
7. Security
We use encryption in transit (TLS), access controls, role-based permissions, audit logging, and secure development practices. No method of transmission over the Internet is 100% secure; we continuously improve our security posture including CyberDragon-aligned monitoring for enterprise deployments.
8. Your rights
Depending on your location, you may have rights to access, correct, delete, restrict, or port your personal data, or to object to certain processing. Workforce users should contact their employer (the data controller) for HR-related data; business account holders may contact us directly.
9. Cookies and analytics
Our website may use essential cookies for security and session management, and optional analytics cookies (such as PostHog) to understand traffic patterns. You can control non-essential cookies through your browser settings or any cookie banner we present.
10. Children
Our B2B services are not directed to individuals under 16. We do not knowingly collect personal data from children.
